Opportunity Overview:
We are seeking a proactive and detail-oriented Office Administrator to oversee the smooth day-to-day functioning of our office. This role will be responsible for facility management, vendor coordination, transport management, office administration, and supporting cross-functional teams including IT, Compliance, and Corporate Governance. The ideal candidate will be highly organized, resourceful, and comfortable working in a fast-paced environment with minimal supervision.
What you’ll do:
Office Administration & Facility Management
- Manage office correspondence including emails, letters, and official communications.
- Oversee daily clerical and administrative activities to ensure smooth operations.
- Organize and maintain office common areas, ensuring cleanliness and upkeep of facilities.
- Track, maintain, and order office supplies as required.
- Handle petty cash transactions and maintain accurate expense records.
Vendor & Transport Management
- Act as the primary point of contact for all vendors and service providers.
- Manage vendor communications, contracts, and service delivery to ensure timely and quality support.
- Coordinate with transport vendors for timely employee pick-up and drop services, ensuring safety and adherence to schedules.
- Monitor transport vendor performance, routes, and compliance with company policies.
- Respond to vendor and employee queries with professionalism.
- Ensure timely processing of vendor invoices and coordination with finance.
Cross-Functional Coordination
- Collaborate with IT, Compliance, HR, and other departments for administrative and governance requirements.
- Support corporate governance initiatives and compliance documentation.
- Facilitate smooth communication and coordination between teams.
Governance & Support
- Assist in managing office-related audits, compliance checks, and record-keeping.
- Ensure adherence to office management policies, procedures, and health & safety norms.
- Provide administrative support for meetings, events, and internal activities.
Required Qualifications:
- Bachelor’s degree preferred (Administration, Management, or related field).
- Proven work experience in office administration, vendor management, transport coordination, or facility management.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and adapt to changing business needs.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Google gmail,gsheets)
- Strong attention to detail, accuracy, and problem-solving skills.
- Self-motivated, trustworthy, and able to work independently with minimal supervision.
- Familiarity with basic accounting processes, transport scheduling, and office management procedures (preferred).
- Experience in GCC is preferred.
Ability to commute/relocate:
- Nacharam, Hyderabad, Telangana: Reliably commute or planning to relocate before starting work (Preferred)
